All prospective volunteers must complete a certification process approved by the GUSD Board of Education.

The Board of Education values the impact of volunteers on our school communities and understands the important role that volunteers play in the educational process. Please allow 3-5 business days after you complete the GUSD Volunteer Interest Form for additional instructions to be emailed to you from TalentEd/PowerSchool Records. Thank you for expressing interest in providing critical support to our staff and students through volunteering in our district. Your patience and partnership is appreciated.

Ready to Start?

The District requires all prospective volunteers to certify eligibility prior to beginning service (including fingerprinting), regardless if you have volunteered with GUSD in prior years. Complete the process in four easy steps:

Complete the GUSD Volunteer Interest Form.
This is the first step in the clearance process, and does not automatically certify you to volunteer. Note: you must provide an email address that you access regularly. All communication about volunteer clearance is sent via email.

Wait for an email from TalentEd/PowerSchool Records to provide further instructions.
TalentEd is the district's volunteer management platform. After completing the Volunteer Interest Form, you can expect an email from TalentEd/PowerSchool Records with instructions on creating an account in the platform so you can submit the required documentation.

Complete the volunteer registration checklist in TalentEd/PowerSchool Records.
You can collect most of this information before completing the volunteer checklist. Note: you will be asked to provide your student's ID number in the platform, in addition to the required documentation.

GUSD Board Policy on Volunteering

As stated in BP 1240, the GUSD Board recognizes that volunteer assistance in schools can enrich the educational program, increase supervision of students and contribute to school safety while strengthening the schools' relationships with the community. The Board encourages parents/guardians and other members of the community to share their time, knowledge, and abilities with students.

Recertification for current volunteers

Volunteers who have already completed the District clearance process must recertify their clearance every year. Recertification is a quick process and will ensure active volunteer status and maintain existing fingerprints on file. Existing approved volunteers who recertify will not need to fingerprint again.

Fingerprinting

1. Why does GUSD require that volunteers be fingerprinted?
GUSD's top priority is to protect the safety of our students. The purpose of the criminal background check through fingerprinting is to ensure that a person is permitted by law to participate in a school setting as a volunteer or employee.

2. What if I have an old DUI on my record or traffic violations?
Not everyone with an offense on their record is excluded from volunteering. Each situation is handled confidentially on a case-by-case basis. You should disclose any and all prior history of criminal convictions other than minor traffic violations when you complete the TalentEd Volunteer Checklist.

3. Will my fingerprints be shared with any other agency?
Your fingerprints are cleared by the Department of Justice and the FBI. The Gilroy Unified School District will not share this clearance with any other agency.

4. How long are my fingerprint results valid?
Your fingerprints are valid as long as you continuously volunteer in the Gilroy Unified School District. If you take a break, longer than a year, from volunteering, you will be required to complete the fingerprint process again before you can resume volunteering in our schools.

5. Do I have to be fingerprinted to attend award ceremonies or performances for my child?
No. Attending an event is not considered volunteerism.

6. If I’ve been fingerprinted for my work or another district, can this clearance be used?
No. To volunteer with for our schools, fingerprint clearance must be conducted with results sent directly to GUSD before volunteers begin working with children.

7. I can't afford the cost of fingerprinting. Do I have any options?
The Gilroy Unified School District values the positive impact that volunteers bring to our school communities and we don't want the cost of fingerprinting to be cost-prohibitive for volunteers. Please talk to your child's principal if you need help covering the cost of fingerprints.

TB Testing

1. Why do I need to have a completed TB Risk Assessment form or get tested for tuberculosis?
Tuberculosis (TB) is a contagious disease that can be deadly if not treated properly. Each year, Santa Clara County reports more cases of active TB than 30 states. In order to volunteer with children, you need to be free of this disease.

2. Where can I get my TB Risk Assessment form signed or a tuberculosis test?

General Questions

1. How is my information and required documentation stored?
The GUSD Human Resources Department securely maintains all of your records as they pertain to volunteer requirements. If a requirement changes or your information is in need of updating, we will contact you through TalentEd.

2. How long will it take for my volunteer application to be processed?
Please allow 3-5 business days after you complete the GUSD Volunteer Interest Form for further communication to be emailed to you from TalentEd. After you complete the registration process, upload all of the required documentation, and complete the Live Scan fingerprinting, you will receive another email from TalentEd informing you that your application is complete. Then you will receive additional instructions to begin volunteering.
